Privacy should be clear—especially when football memories involve children.

Information you provide can include account and authentication details; coaching workspace, team and family membership; player names and dates of birth; sessions, practices, attendance, observations and reviews; Challenge attempts, Personal Bests and progress; invitations; and Journey entries such as football Moments and historical memories.

Where you choose to add them, Journey content may include private photographs, videos, captions, matchday memories, milestones and family moments. Melivio also receives limited technical information needed to authenticate requests, operate uploads, protect the service and investigate failures. Melivio does not currently run advertising or marketing analytics on private coaching content.

Melivio processes this information to provide the feature you requested: authenticating your account, operating your coaching context, organising football activity, showing development history, calculating existing Challenge progress, delivering private media and helping authorised people collaborate.

Voice Quick Review can send a temporary recording to OpenAI for transcription. Melivio does not retain the raw review audio; a resulting transcript may be saved and processed to suggest editable review fields. A coach reviews and chooses what to save.

Private workspaces and Journey media are not public by default. Access follows the relevant workspace and role. In a Parent workspace, Owners manage access, Contributors can add or manage appropriate Journey content, and Viewers have read-only access. Team access is limited to assigned coaches.

Explicit public session-share links contain only allowlisted plan or recap information and exclude player data, attendance, observations, private notes, transcripts and internal identifiers. Melivio does not sell user content or claim ownership of family photographs, videos or Journey entries.

Melivio currently relies on Supabase for authentication, database and private file storage; Vercel for application hosting and delivery; and OpenAI for the optional voice transcription and editable AI-supported review flow. These providers process limited information on Melivio's behalf where required to deliver those functions.

Processor agreements, regions, international-transfer arrangements and final controller details require owner and professional legal review before wider public launch.

Information is retained while needed to provide the account and football-history experience, meet legitimate operational needs, or resolve a request. Some reversible archive and context lifecycle controls preserve historical records intentionally. Final category-specific retention periods and backup deletion schedules have not yet been approved.

Use Support to request help removing media, content, account information or an account. Melivio will need to verify the requester's identity and authority before acting. Self-service export and complete account erasure are not currently available for every data category.

Melivio may hold meaningful information about a child's football life. Parents, guardians and authorised coaches should add only information needed for the football experience and avoid medical, school, contact or other unrelated sensitive details.

Private photo and video decisions are recorded per player and checked again when a new Parent Journey upload is authorised. Unknown, declined or withdrawn permission does not allow a new upload. Existing media is not automatically erased when a decision changes. See Family Trust for a simpler explanation.

Depending on where you live, you may have rights to ask for access, correction, deletion, restriction, objection or a portable copy of personal information. Contact Melivio through Support so the request can be verified and handled appropriately.

You remain responsible for ensuring you have authority to add information and media about other people. Parents and guardians remain in control of what they add for their children through the controls currently available.

Melivio uses authenticated access controls, workspace checks, private storage and short-lived signed media links where supported. No online service can promise absolute security. Please report suspected unauthorised access or a privacy concern promptly through Support.

This policy may change as Melivio develops or its providers and legal responsibilities are confirmed. Material updates will be reflected here with a revised date. Final controller identity, lawful bases, retention periods and jurisdiction-specific wording still require professional legal review.
